ProSmart: crediting and delivery
The Credit in ProSmart flag on refunds, cancellations and returns, how the amount is counted, and how the delivery is registered in ProSmart.
BunStack does not credit ProSmart automatically.
Where: the order, the Needs attention flag and the ProSmart card.
Credit an order
When you refund an order that is in ProSmart, fully or partly, or cancel it, BunStack flags the order. The bell gets the Credit in ProSmart notification. The flag says what to credit and where, for example Credit 116.80 SEK incl. VAT of order 41536 in ProSmart Test: a refund in BunStack.
- Open the order and read the flag.
- Credit the order in ProSmart by hand.
- Press Resolve on the order.
The flag disappears. When the order was delivered in ProSmart, the stock there has already been reduced. A credit with return in ProSmart puts it back.
BunStack flags a refund from a return the same way. The amount is what was refunded, after any deduction for return shipping.
How the amount is counted
The amount is what has been refunded and that ProSmart has booked, including VAT. It is in the order's currency, and in SEK when the order has another currency.
| Case | What counts |
|---|---|
| A line no push to the environment sent | Does not count. A refund of only such lines gives no flag. |
| The shipping | Counts only if a push to the environment had the freight line. |
| Full | What was left of the order: the lines ProSmart booked that no earlier refund gave back. The shipping counts if a push had the freight line. |
| Partial (a free amount), Percent | The whole amount, but never more than ProSmart booked of what is left. |
| Lines | A unit counts once. A unit an earlier refund or a release already took does not count again. |
| A push imported without lines | Counts as having booked every line and the shipping. |
- When Test and Production booked different lines, the flag gives one amount per environment.
- BunStack adds up several refunds made before you resolve the flag.
- Full applies with or without Return all items to stock ticked. After a partial capture the amount is never more than the refund.
- BunStack subtracts earlier refunds without lines from what is left. The credits for an order are never more than ProSmart booked.
Lines no push sent are lines without a SKU, without an article or without a customer for the country, and parts not yet sent.
The order in ProSmart
The flag names the order by ProSmart's order number. When ProSmart gave no number, the flag gives Ert ordernummer or Er referens instead. When BunStack got no answer to the push, the flag says to look for the order in ProSmart first.
Release the rest of the payment
Release the rest of the payment closes the units that have not been shipped.
- If a push had booked units without anything captured for them, BunStack flags the order with lines that will not ship, closed in BunStack.
- Units paid for with their line go into the credit of the refund that gives their money back.
- A push after the release does not include the closed units. A line closed in full is listed as not shipped.
Refund before the first push
The push leaves the refunded units out. If you refunded more than the lines, for example the shipping, BunStack flags that amount for crediting after the push. This applies to every push: from the dialog, on fulfilment and on Picked up.
A cancellation or a full refund also removes the flag for lines that were not sent. No part of the order will be sent any more.
Delivery
Under Order state in ProSmart when BunStack sends it you choose the status the order gets in ProSmart.
| Choice | What happens |
|---|---|
| Delivered at once | BunStack registers the delivery right after the order is created, with every line fully delivered. The stock in ProSmart drops at once. |
| Not delivered (default) | The order stays open in ProSmart and reserves the stock until someone registers the delivery in ProSmart. |
BunStack registers an order picked up in store and sent on Picked up, or later, as delivered at once. The setting does not matter then. It registers an order sent before Picked up as delivered when you press Picked up. The result then reads Order … is delivered in ProSmart now: picked up in the shop.
When the delivery fails
The order stays in ProSmart whatever the delivery answers.
| The ProSmart card shows | What to do |
|---|---|
| delivered, with the date and ProSmart's delivery note number | Nothing. |
| failed, with the reason | Press Register delivery on the card. |
Register delivery first reads the order in ProSmart. When the order is already fully delivered, BunStack only saves that. Otherwise BunStack registers every line as delivered. When ProSmart's answer lacks an order number, BunStack cannot register the delivery. Do it in ProSmart.
