Stock

The Inventory page, stock per variant, the stock mode, the stock threshold, the badges, preorder, the export and the ProSmart sync.

Last updated · 7 min read

Inventory shows the stock of every variant in the catalogue. Here you change stock and see what is running out.

Services are not listed: a service has no stock. The line above the table says how many services are left out. See Services.

Where: Products › Inventory.

Warning: With Sync stock automatically in ProSmart, ProSmart overwrites the stock here within 15 minutes for variants with a SKU. Change the stock in ProSmart.

The figures

TileShows
Units in stockThe sum of every variant's stock
VariantsThe number of variants and how many have a SKU
ProSmartOn with the time of the last sync, or Off. Off leads to Stack

If the read fails, the tiles say "Could not load", and the error has the button Try again.

Below the tiles is Needs you, one line per thing to do:

LineCounts
variants out of stockVariants in the Low or out tab with the badge OUT
variants at or below 5The other variants in the Low or out tab
variants without SKU — ProSmart skips itOnly when ProSmart is connected

The lines lead to the tab with those variants. When there is nothing to do, the card shows "No variant is out or low."

The stock mode

Every variant has a stock mode. It decides whether the storefront sells the variant and what it says.

ModeThe storefront showsSold
Automatic"In stock", "Only 3 left" at 5 or fewer, "Out of stock" at 0While stock is available
In stock (manual)"In stock", with no count and no preorder textWhatever the stock
Preorder"Preorder" with the delivery window when nothing is available. Stock on hand sells first, as AutomaticWhatever the stock
Out of stock"Out of stock". The button cannot be pressedNever, whatever the stock

New variants get Automatic.

Change the mode:

  1. Press Edit on the variant under Variants on the product.
  2. Pick the mode in Stock mode. The line under it says what the mode does.
  3. Press Save.

To change the mode of every variant of many products at once, use the product list, see Change many products.

Out of stock stops the sale everywhere: the product page, the product card, the add-ons, the cart, both checkouts, Kustom's last check before the purchase and the Google and Meta feed.

An item already in a customer's cart stays there. The cart page and the cart panel check the lines when they open:

  • The line says "Sold out" when the variant has the mode Out of stock, or no available stock in the mode Automatic.
  • Above "Checkout" is the same sentence the checkout gives: "… is sold out. Remove it from your cart."
  • "Checkout" cannot be pressed until the customer removes the line.

The checkout checks the same again before payment.

A ProSmart sync writes only the stock. The mode stays until you change it.

A variant saved with an older combination shows as the mode the storefront treats it as. Preorder or In stock with policy deny is Automatic: the storefront sells from stock and stops at 0. Policy continue with no mode is In stock (manual). The variant keeps its values until you pick a mode and save.

Stock threshold

A stock threshold holds units back from the storefront. The storefront sells only the stock above the threshold. Example: ProSmart has 2 and the threshold is 2. The storefront shows "Out of stock".

Available = stock minus the threshold, never below 0.

Set the threshold:

  • On the product: the field Stock threshold at the top of the Variants card. Press Save next to it.
  • On the category: Products › Categories, Edit on the category, the field Stock threshold. See Categories.

Which threshold applies:

  1. The product's own, when set. Also 0.
  2. Otherwise the category's. A category without a threshold inherits from the nearest parent category that has one.
  3. If the product is in several categories, the highest applies.
  4. Otherwise no threshold.

The threshold applies in the mode Automatic: the product page, "Only 3 left", how many the customer can put in the cart and both checkouts' check count the available stock. In stock (manual) and Preorder sell whatever the stock. In Preorder the preorder text starts when nothing is available.

The stock itself does not change. ProSmart still writes its stock, and the Inventory page shows the stock. With a threshold, the available count shows under the stock, for example "5 avail.". The line under Stock mode on the variant works out the same.

The badges

BadgeMeans
OUTAutomatic and nothing available, or the mode Out of stock
LOWAutomatic and 1–5 available
PREORDERThe mode Preorder
SELLING PAST 0In stock (manual) and nothing available. The storefront keeps selling
IN STOCKEverything else

The same badges show in the variant list on the product, with the mode under the badge when it is not Automatic. The Mode column on the Inventory page shows each variant's mode. The badges OUT and LOW are also what the low-stock line on Home counts.

The tabs

All, Low or out and No SKU, with counts. Low or out shows the variants with the badge OUT or LOW:

  • the mode Out of stock, whatever the stock
  • the mode Automatic with 5 or fewer available, that is stock minus the stock threshold

In stock (manual) and Preorder are never listed. The count is the same number as the line on Home, and that line says how many of them are out. The tab is in the address, for example ?filter=low_or_out. The search field searches product, variant and SKU.

Change stock

  1. Type the new stock in the row.
  2. Press Set or Enter.

Set overwrites the stock. An error shows in the row. Stock cannot be negative.

In the variant form on the product, the form saves Stock only if you changed the field. If the stock changed since the form opened, the form saves nothing and shows "Stock changed since you opened this. Reload to see the current count." Choose ⋯ › Reload at the top of the product and save again.

Orders change the stock. Stock goes down when the customer completes the purchase. Cancelled and refunded orders can put units back, see Capture, refund and cancel.

Preorder

Take preorders at 0:

  1. Open the variant.
  2. Pick Preorder in Stock mode.
  3. Fill in Preorder days · min and max. The fields take input only in the mode Preorder.
  4. Save.

The storefront shows "Preorder · ships in 14–30 days" when nothing is available. A Swedish storefront shows "Förbeställning · skickas om 14–30 dagar". Without days it shows only "Preorder". When the customer adds the item to the cart, the line "Preorder — ships in 14–30 days." goes with it to the checkout.

ProSmart

With ProSmart connected, Sync from ProSmart is in the header. A line shows how the sync is going. What a sync writes explains the count. The sync writes the stock, never the stock mode or the stock threshold. Read more under ProSmart: stock sync.

Export

Export CSV downloads the rows shown, with tab and search applied. The columns are product_title, product_slug, variant_title, sku, inventory_qty, inventory_policy and stock_status. inventory_qty is the stock, without the threshold. The file is UTF-8 with BOM, so å, ä and ö show correctly in Excel. You can import the file again, see Import products from CSV.

Limits

The page reads up to 10,000 variants, 1,000 at a time, lowest stock first. The table shows the first 500 matches. If there are more: search or export.
